DogDesk is software dog trainers use to run their businesses. We hold two kinds of information: what we need to run your account, and whatever you record about your clients and their dogs. The second kind is yours, not ours. If we wrote to you about DogDesk, “If we contacted you about DogDesk” below is the part for you.

Who we are

DogDesk is operated by Aidan-Jack Marshall, trading as DogDesk, of 33 Holyrood Road, Doncaster DN2 5HR. For questions about anything on this page, write to support@dogdesk.app.

The two roles we have

This matters more than anything else here, because it decides who you should ask when you want something changed or removed.

  • Your account is ours to answer for. Your name, email, business details and billing are things we decide how to handle, so we are the data controller and the rights below are exercised against us.
  • Your client and dog records are yours to answer for. When you add a client, write a session note or upload a dog’s photo, you decide what is recorded and why. We are a processor acting on your instructions. We do not read those records to decide anything of our own, and we never sell them or use them to train anything. Our terms set out in full how we handle them for you.

If you are a dog owner who booked through a trainer’s link: your trainer holds your records, and we hold them on their behalf. Ask your trainer to correct or delete them. If you cannot reach them, write to us at support@dogdesk.app and we will help you find a way through.

What we hold

  • Your account — name, business name, email address, time zone, your business logo if you upload one, and your booking settings.
  • Your clients — the name, email address and phone number you record, or that they enter themselves when booking through your link, plus any notes you write about them. If someone starts booking and stops part-way, what they had typed is kept so you can help them finish (the booking form says so), and it stops showing once they book or you dismiss it.
  • Their dogs — name, breed, date of birth, photo, vaccination records, and the notes, session history and training plans you build up over time.
  • Sessions and payments — what was booked, when, for how much, and whether it was paid, cancelled or rescheduled.
  • Emails we sent — a log of the booking confirmations, reminders and receipts sent on your behalf, so that you and we can both tell whether a client was actually contacted.

We never see card details. Payments run on Stripe’s own checkout pages. We store the reference Stripe gives us and whether the payment succeeded — never a card number.

Why we hold it, and on what basis

  • To provide the service you signed up for — running your bookings, sending your clients their confirmations and reminders, keeping your records. This is necessary to perform our contract with you.
  • To take payment and prevent fraud, and to keep the records HMRC expects us to keep. This is a legal obligation and our legitimate interest in being paid.
  • To reply when you contact us, and to tell you about changes to the service or to your subscription. Our legitimate interest in running the business.

We do not send marketing email to your clients, and we do not contact them for any reason of our own. Every message they receive from DogDesk is one your bookings caused.

Who else touches it

These are the only companies your data reaches, and each is used for one specific job.

  • Supabase

Hosts the database, sign-in and uploaded files

Data held in the United Kingdom

  • Stripe

Takes payments and pays trainers out

Data held in the EU and US

  • Resend

    Delivers confirmations, reminders and receipts

Data held in the EU and US

  • Vercel

    Serves the website itself

Data held in data centres worldwide

  • postcodes.io

Checks a postcode is inside a trainer’s travel area — only the postcode is sent, never a name or address

Data held in an open UK postcode service

  • Google, Microsoft or Apple

Calendar sync — only if you connect one

Data held in the EU and US

Where data reaches the United States, it does so under the transfer safeguards those companies publish — standard contractual clauses, and the UK extension to the EU–US Data Privacy Framework.

Calendar sync is off unless you turn it on. If you do, we write your sessions into the calendar you chose and read back enough to spot clashes. Disconnecting it stops both.

How long we keep it

  • While your account is open, we keep your records for as long as you want them. A note you delete disappears from your screens straight away and is fully removed when your account is closed. A dog you delete is removed from our database immediately.
  • When you delete your account, we delete your records — clients, dogs, sessions, notes, plans, files and your sign-in — permanently, and cancel your subscription.
  • Payment records are held by Stripe, which keeps its own record of every transaction for as long as financial regulation requires. Our copy — what was booked and whether it was paid — goes when your account does.

If we contacted you about DogDesk

We write to dog trainers, and to organisations that train or support them, to tell them about DogDesk. If we emailed you, sent you a letter or rang you, this is what we hold and why.

  • What we hold — your name, your business name, the business email address, phone number and postal address you publish, and a few public facts about your business from your website (such as the classes you run), so that what we send is about you. We also note what we sent, when, and what you replied.
  • Where it came from — your own website, your public business listings, or Companies House. Never a bought list.
  • Your preview page — if our letter had a code to scan, it opens a page we made for you: your first name, your business name, and the services and prices from your website, shown as a booking page. It isn’t listed anywhere and search engines are told to leave it out. We count how many times it is opened each day, but not who opened it or from where. We delete it when we delete your details, or sooner if you ask.
  • Why — to tell you about DogDesk. That is our legitimate interest in finding customers. We only email limited companies, at their business address; sole traders and partnerships get a letter instead.
  • Phone calls — before we ring a number, we check it against the Telephone Preference Service lists (TPS and CTPS), and we don’t ring it if it is on one.

To stop it, reply “no thanks”, email aj@dogdesk.app, or tell us on the phone. You don’t need to give a reason, and we won’t contact you again.

How long we keep it: while we’re in touch. If you say no, we keep only your name, your business name and how we contacted you, marked “do not contact”, so that it never happens again. If you never reply, we delete your details within a year of the last time we contacted you.

These details reach four companies, each for one job:

  • Supabase

Holds your preview page, if our letter had one

    Data held in the UK

  • Notion

Keeps our list of who we have contacted and what was said

    Data held in the US

  • Microsoft

Sends and receives our email (aj@dogdesk.app)

Data held in the UK, EU and US

  • Anthropic

Its assistant, Claude, helps us read public websites and draft what we send

    Data held in the US

You have the same rights as anyone else (below): ask us for a copy, a correction or deletion at support@dogdesk.app.

Your rights

You can ask us for a copy of everything we hold about you, to correct it, to delete it, to restrict what we do with it, or to object. We do not charge for this and we will answer within one month.

If you are a trainer, you can do the two biggest of these yourself, in Settings → Account: “Download a copy” gives you everything your account holds, and “Close your account” deletes it. For anything else, write to support@dogdesk.app.

If you think we have handled your data badly, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.

Cookies

DogDesk sets no cookies and does no tracking. On our public pages we count visits, one number per page per day, which holds nothing about who you are. The cookie page explains that, and the little we do store in your browser and why it is there.

Changes

If we change how we handle your data, we will change the date at the top of this page, and we will email you before anything significant takes effect.
